Overview

With the ACME Sales app, a user can sell a new membership, convert tickets to membership, renew or rejoin a lapsed membership or process a mid-cycle upgrade or downgrade. If needed, a membership can also be canceled and refunded. These functions are controlled by the configured Membership Rules in Backoffice.

Selling a New Membership

  1. From the main POS screen, tap the tile for the Membership level to be purchased.
  2. Tap the Membership Offering to be selected. An offering determines the price and/or length of the membership term.
  3. Tap Yes or No when prompted "Is this membership a gift?". This pop-up will appear if the selected membership level is eligible for gifting.
  4. If the membership is NOT a gift (i.e. the buyer is the member):
    1. Tap "No."
    2. Enter the information for the Primary cardholder. First name, Last name, and address are required.  
    3. If applicable, enter the information for the Secondary cardholder(s). 
      • To speed data entry, you can check the Use primary cardholder address checkbox to copy the same address from the primary cardholder. 
      • If you check the No assigned cardholder checkbox, the default cardholder name will be "Guest of (Primary Cardholder)".
    4. Tap "OK".
  5. If the membership IS a gift:
    1. Tap "Yes".
    2. Enter the Gift giver information. First name, Last name, and e-mail address are required. Note: If you check the Send membership card email to the gift recipient checkbox, an email will be sent to the recipient member, including the Gift message text, at the completion of the sale.  
    3. Confirm the buyer details and tap "Continue". Tap "Edit" if you need to make any corrections.
    4. Enter the information for the Primary cardholder. First name, Last name, and address are required.  
    5. If applicable, enter the information for the Secondary cardholder(s). 
      • To speed data entry, you can check the Use primary cardholder address checkbox to copy the same address from the primary cardholder. 
      • If you check the No assigned cardholder checkbox, the default cardholder name will be "Guest of (Primary Cardholder)".
    6. Tap "OK".
  6. Proceed to complete the order and accept payment.

NOTE: Once you add a membership into a cart, all ticket prices will apply the eligible member discounts for the level purchased.



NOTE: When entering membership cardholder information with an external keyboard at Point of Sale, the Tab key will select the next field to the right, rather than down to the next logical field.

Due to the nature of iOS, the Enter/Return key on an eternal keypad works the same as "Next" on the virtual keypad, tabbing through the fields in the following (preferred) order: Title, First Name, Middle Initial, Last Name, Email Address, Name on Card, Main Phone, Address Line 1, Address Line 2, City, State, Zip.

It is recommended to train staff to use the Enter/Return key when they want to tab.


Converting Tickets to Membership




Your venue can have your POS agents apply customers' ticket purchases to the purchase of a new membership. When this happens, the cost of the tickets will be deducted from the price of the Membership. The customer pays the balance of the membership fee, and the tickets still remain valid for the event. This only applies to the purchase of a new membership and cannot be applied to other lifecycle actions like renewals.

  1. In the POS, open "Order Management" and locate the Order that contains the customer's ticket purchase. (Review Order Management here.)
  2. Click "Convert to Membership".
  3. Choose the Membership Offering the customer would like to purchase.
  4. Choose the tickets to apply to the price of the Membership. NOTE: the cost of the tickets must be less than or equal to the cost of the Membership. If the ticket prices do not add up to the exact price of the Membership, the customer will have to pay the difference.
  5. Click "Continue to Member Info".
  6. Complete the rest of the transaction as usual. The customer may have to pay a remaining balance.


Please note-
  1. Tickets within a single order can only be converted to a single new membership. If only some tickets from an order are converted, the other tickets in that order cannot be converted to a membership.
  2. Coupons cannot be applied to memberships created this way, instead refund the original tickets and sell the membership separately with the desired coupon.
  3. Once tickets have been converted to a membership, the tickets cannot be edited or refunded. To issue a refund, you will need to cancel the membership.




Upgrade, Downgrade, Renew, Rejoin or Cancel Membership

NOTE: The POS is the only sales channel that allows for membership downgrades and cancellations.


Step by Step Guide

  1. From the Members menu on the POS application, search for the member record. 
    • Tip: Switch to Advanced Search to search by FIrst and Last Name, Address Zip, Email, Membership ID or Name on Card
  2. On the left side of the screen, tap the membership to select from the search results.
  3. Tap the Manage button next to the member's current membership level.

  4. Tap the "MODIFY MEMBERSHIP" button to view the available lifecycle action options for the membership.
  5. Choose one of the eligible Lifecycle Action options (the available options are based on the membership configuration in ACME backoffice)
    • Upgrade: select Level and Price Point to upgrade into. The member will be required to pay the difference to complete the upgrade.
    • Downgrade: select Level and Price Point to downgrade into. This will initiate a refund for the difference.
    • Renew: select Level and Price Point.
    • Renew Upgrade:  select Level and Price Point.
    • Renew Downgrade:  select Level and Price Point.
    • Rejoin: select Level and Price Point.
    • Rejoin Upgrade: select Level and Price Point.
    • Rejoin Downgrade: select Level and Price Point.
    • Cancel: click the orange "CANCEL MEMBERSHIP" button and blue "ISSUE REFUND" button.
  6. Complete the membership cardholder information
    • Tap EDIT to modify the cardholder details. 
    • Tap "Add Cardholder" to add an additional cardholder to the membership (if applicable).
  7. Click "ADD TO ORDER" on the lower left side of the screen to add the option you've chosen (upgrade, downgrade, etc.) to your cart.
  8. Proceed to checkout and accept payment.
