Components of Membership Rules
ACME Membership Levels can be configured on an event-by-event basis to receive automatic ticket discounts. If more than one membership level receives the same benefit(s) for an event, levels may be grouped in a rule. If different membership levels receive different benefits for an event, unique rules must be set up. Unique rules may apply to different types of tickets, differing amounts of tickets, or different numbers of discounted rate tickets.
Membership Rules are defined per Event Template, and only one discount list can be applied per level. If some membership levels receive a different amount off (some levels receive 50% off certain tickets, other levels receive 100% off the same tickets), a separate discount list will be needed for the different values off. Additionally, if some membership levels receive a discount on certain tickets, and other levels receive the same discount on those tickets as well as receiving an additional discount on additional tickets, the discount lists will need to be built separately.
- For example, Individual-level members receive 100% off only Adult tickets, and the Family-level receives 100% off Adult and Child tickets. These need separate discount lists; one for 100% off Adult tickets, one for 100% off Adult and Child tickets. Using the same list for both levels would allow both levels to get 100% off Adult and Child tickets.
Limits determine how frequently the discount can be used. When setting limits, the first choice is to select Each or Across as it relates to the ticket types that will be discounted.
- Selecting “Each” means multiple ticket types are chosen and a ticket number limit is set. The limit will apply to each of those types separately.
- For example, if two ticket types are chosen with the Each setting, and a limit of two is set, members at the specified level will be able to receive two of each ticket type, for a total of four tickets at the discounted rate.
- Choosing “Across” means that if multiple ticket types are chosen and a limit is set, then the limit can be any combination of those ticket types, but not to exceed the number of tickets the limit specifies.
- For example, if two ticket types (Adult and Child) are chosen with the Across setting, and a limit of two is set, then members at the specified level will be able to receive two tickets at the discounted rate, with any combination of those ticket types (2 Adult; 1 Adult and 1 Child; or 2 Child), but no more than two tickets.
Any ticket types that are discounted by the chosen discount list and with no limited configured will be available in unlimited quantities to the selected level(s).
Ticket Limits can be set to apply on a daily basis, or apply across all the instances of the event.
- Choosing the “Per Day” option means that the discount and benefits set by the rule will be available each day.
- For example, if there is a limit of 2 tickets at the set discount, then a member could receive 2 tickets at that rate each day of the event.
- Choosing the “Per Event” option means that the discount and benefits set by the rule will be available once across all available dates of the event template.
- For example, if there is a limit of 2 tickets at the set discount, then a member could receive 2 tickets at that rate on any day(s) of the event, but the limit will not reset each day. In the case of a 3-day event, the member could receive 2 discounted tickets on a single day, or 1 each on two separate days, but the limit will be reached when the 2nd ticket is reserved.
- When a member reaches their discounted ticket limit, they will be notified with a "pop-up" on the order screen of the limit. The member will have the opportunity to reduce the number of tickets in their cart and purchase full-price additional tickets. - Staff transacting on a Member’s behalf at the POS or in Back Office will receive the same limit pop-up notice but will be given the option to override the limit.
- Limits only apply to the discounted rate; Members will be given the option to purchase additional tickets at full price if they reach the limit.
Tips for Configuring Membership Rules
Same Ticket Limits = Single Rule
- If a level or group of levels receive a limited amount of discounted tickets on a certain ticket type and unlimited discounts on other ticket types, that can be configured as a single rule. Tickets that are limited are chosen in the rule; tickets that are unlimited are on the discount list but not selected in the rule, and therefore not limited.
Different Ticket Limits = Separate Rules, Same Discount List
- If a level or group of levels receive separate limits for different ticket types, those can be configured as separate rules, but they must use the same discount list.
- For example, if a Family level receives 2 Adult tickets and 6 Child tickets, two rules should be built with the same level and discount list chosen, but the first rule would specify Adult tickets and set a limit of 2 and the second rule would specify Child tickets and set a limit of 6.
Configuring tiered discounts
You can offer a "tiered" discount, like 100% off member tickets and 20% off member guest tickets, by setting up separate ticket types for the member guest tickets. Setting those tickets at the equivalent to full price tickets will discourage any non-members from purchasing them, and you can use the ticket category name and description on the price list to further clarify the use of these tickets. Having these configured as separate ticket types allows you to create a single discount list with a different discount rates on the standard tickets that members use vs the member guest tickets, which can be used to configure the member rules with your member limits.
