Custom Fields settings allow you to collect customized data about your Events or transactions. This can be very helpful when creating detailed Reports, or even for keeping track of specific elements of your Events.

Once you've set up Custom Fields, it is easy to add them to Event Templates or Event Instances


WARNING: You can only set up Custom Fields once. After setting up five Custom Fields, the field names will be locked, with no method of changing them. You can continue to add Values to Custom Fields, but you cannot change the Fields themselves.


For this reason, we recommend using open-ended Names for Custom Fields. (e.g. Choose "Non-Profits" instead of "XYZ Foundation" as a Field Name. Then make "XYZ Foundation" a Value in that Field.)


Custom Fields vs Values


You can define up to five Custom Fields. In addition, you can add an unlimited number of Values to each Custom Field.


Values are specific examples within a Custom Field. If the Custom Field is "School", Values in that Field might be "Elementary School", "Middle School", and "High School". These all let you further specify what kind of visitors you receive, and can help you customize your reporting.


You can add Values to Custom Fields in two ways: through Text Fields, and through Drop-down Menus. The difference is how a Custom Field acts in an Event Template.

  • Text Fields allow the user to enter their own Value in an Event Template. In the Event Template, the Custom Field will give the user a blank text box to fill out herself.
  • Drop-down Menus will appear as a drop-down list of Values in the Event Template. These Values are set up in the Back Office beforehand.

If using Drop-down Menus, you can always add more options to a Custom Template by editing it in the Back Office. You can also easily convert Text Fields to Drop-down Menus and vice versa.


WARNING: To repeat, you can only set up Custom Fields once. You can continue to add Values to Custom Fields, either in the Back Office or in Event Templates. But once Custom Fields are set up, you cannot change their names.


Again, we highly recommend using open-ended Names for Custom Fields, and using Values to create more specific choices. (e.g. Choose "Event Site" instead of "Carnegie Hall" as a Field Name. Then make "Carnegie Hall" a Value in that Field.)


Creating Custom Fields

  1. Log in to the ACME Back Office.
  2. Click on "Settings" in the left navigation panel.
  3. Select "Custom Fields" from the expanded Settings menu.
  4. Click "Edit" next to one of the Custom Fields.
  5. From the dropdown menu under "Format", choose either "Text" or "Dropdown Menu". (See above.)
    • Dropdown Menu: In the "Values" box, enter the Values you would like. Put each item on a new line.
    • Text: No further entry is needed: the user will enter a Value in the Event Template.
  6. Click "Save"

Adding Values to Custom Fields


You can always add new Values to any Custom Field.

  1. Log in to the ACME Back Office.
  2. Click on "Settings" in the left navigation panel.
  3. Select "Custom Fields" from the expanded Settings menu.
  4. Click "Edit" next to the Custom Field you want to modify.
  5. In the window that opens:
    1. Click in the "Values" box.
    2. Add a line after the last Value in the list.
    3. Type in your new Value.
    4. Click "Save".

Convert Text Custom Fields to Drop-down Custom Fields, and vice versa


If you've set up a Custom Field as a Single-Value Field, converting it to a drop-down field is easy.

  1. Log in to the ACME Back Office.
  2. Click on "Settings" in the left navigation panel.
  3. Select "Custom Fields" from the expanded Settings menu.
  4. Click "Edit" next to the Custom Field you want to modify.
  5. In the window that opens:
    1. Use the drop-down menu next to "Format" to change "Text" to "Dropdown", or vice versa.
    2. Click "Save"

Add Custom Fields to Event Templates


It's easy to add Custom Fields to your Event Template, or to modify the Custom Fields already associated with it.

  1. Log in to the ACME Back Office.
  2. Click on "Events" in the left navigation panel.
  3. Select "Templates" from the expanded Events menu.
  4. Click "Edit" next to the Template you want to modify.
  5. Under the Description tab, you'll find your Custom Fields.
    • If the Field has a drop-down menu, choose the Value you'd like.
    • If the Field is has a text box, enter your Value in the box.
  6. Click "Save" in the upper right of the page.
